REPORTS TO:  PDSS Project Manager – Singapore

SUPERVISES:  None

AUTHORITIES / RESPONSIBILITIES:

  • Corresponds with high-ranking individuals using judgment and discretion.
  • Reads outgoing correspondence for project manager approval and alerts writers to any conflicts or departure from standard policies or leadership’s viewpoints.
  • In Project Manager’s absence, ensures that requests for action or information are relayed to the appropriate staff members.
  • Coordinates collection of data and preparation of departmental reports to include budget expenditures and statistical records of program performance data (cost, schedule, and quality).
  • Liaises with US Navy Program Offices (Littoral Combat Ships PMS-501, Frigate PMS-515, LCS Fleet Introduction and Sustainment PMS 505), Program Management staff, Washington Operations Office (WOO) and other Austal internal departments on all matters related to the PDSS programs.
  • Tracks correspondence and completion of action items via the PDSS Program Commitment Report.
  • Order all supplies for Program Team, tracking usage and expenditures.
  • Coordinates travel arrangements and accommodations, domestic and international for all Singapore PDSS personal and other management as appropriate.
  • Coordinates the processing of expense reports associated with travel.
  • Assists Project Managers and Project Coordinators in developing and updating of ship specific action tracking spreadsheets.
  • Coordinates travel, meeting arriving employees at airport, ensuring all returning employee arrive at the airport on time.
  • Manage meal program.
  • Act as the liaison between Austal and Singapore including but not limited to translation of language.
  • Administration of security processing and compliance.

QUALIFICATIONS / KNOWLEDGE / EXPERIENCE:

  • Must be fully vaccinated for COVID-19
  • Education:  High school diploma or equivalent; bachelor’s degree (four-year degree) preferred.
  • 5 years’ experience in administrative support or professional work environment.
  • Computer Experience: proficient in Microsoft Word, Outlook, PowerPoint, Visio and Excel and the Internet. Willing to learn new software as needed.
  • Excellent interpersonal skills are a prerequisite, including the natural ability to treat everyone, regardless of status, with respect.
  • Fluency in Mandarin.

DIRECTION EXERCISED:  None

DISCRETION EXERCISED:  When contacted by outside individuals or groups, the incumbent will determine whether the Vice President or Program Manager is the appropriate person to be engaged, and if neither, will facilitate contact with the correct person at Austal USA.

  • May need to determine priorities in scheduling conflicts for the Program Managers.

LIAISES WITH:  Senior Management  of Austal USA; all PDSS Program Management staff, various other department employees at Austal USA, U.S. Navy and Department  of Defense officials on matters related to Government Program Management, State and Local elected officials and staff; customers and potential clients; teaming partners, subcontractors, vendors, media, and any other party as required.

  • Candidates must meet the following employment eligibility guidelines to be considered  for employment  with Austal USA:
    • 18 years of age or older.
    • No felony convictions of theft/deception or violent crimes within seven years from disposition  date
    • No felony convictions of Drug crimes within three years from disposition date
    • Willing to submit to a drug screen
    • Willing to submit to a background  check

WORK ENVIRONMENT

While performing the duties of this job, the employee may be exposed to humid conditions, bright flashing lights, moving mechanical parts, high precarious places, outside weather conditions, and extreme heat. The employee is occasionally exposed to fumes and/or airborne particles at or below the PEL, toxic or caustic chemicals, and heat and cold. The noise level in the work environment is usually very loud, + 90 dB.
